Yemen Foundation (Resonate!) is a not-for-profit civil society foundation contributing to inclusive and local sustainable development through the provision of institutional development and local community empowerment programs to diverse groups of development stakeholders including Youth, CSOs and local Authorities. Resonate! believes in community-based interventions as a main source of sustainable local development. Position Summary:
Resonate! Yemen Foundation is implementing Strengthening EU partnership with Yemeni CSOs for the development of Yemen project. The position will be responsible for carrying out overall implementation of activities of the project within the targeted governorates. The Project Assistant will follow-up and support the process of follow-up the activities implementation, documentation, and submitting activity reports and documents in a timely manner.
Responsibilities:
· Provide support and oversee the implementation of all aspects of daily project activities undertaken in Aden ensuring that they are completed in a timely, efficient, and accurate manner.
· Operate in coordination with consortium partners to ensure comprehensive project implementation and integration of the activities across the programming.
· Serve as a focal point for local partners and consultants, maintaining positive relationships and collecting feedback, including challenges that will form the basis of project evaluation and adjustments to project implementation.
· Carry out frequent field visits to targeted districts to manage and supervise the project's activities and give feedback and guidance to facilitators and consultants.
· Working on all logistical coordination for training and workshops, which include, but are not limited to:
- Work in coordination with the project officer on preparing all training requirements.
- Attending all training sessions assigned to him/her.
- Ensure that the training session is running effectively for the benefit of the trainees.
- Collecting contact information for documentation and media coverage service providers that are documenting activities.
- Follow up on the preparation of all printed materials related to project activities.
· Keep the Project Officer & Manager informed on progress achieved and challenges faced throughout project implementation.
· Prepare regular reports and documentation of activities conducted including visual documentation.
· Ensure all files are archived following the archive guide.
· Coordinate and compile Monitoring and Evaluation (M&E) data, activity results, and documentation with M&E team and Project Manager.
· Maintain regular communication with the logistics department concerning the procurement of supplies.
· Ensure quality filing and reporting systems for project activities, feeding into reports to donors on implementation progress and achieved results.
· Provide additional administrative work, as needed and required.
· Ensure a safe working environment for all people involved in project implementation and maintain the highest standards of behavior when working with the community targeted.
· Adhere to all organizational policies and procedures as outlined policies and procedure manuals.
As job descriptions cannot be exhaustive, the position holder may be required to undertake other duties that are broadly in line with the above key responsibilities.
Reports/documents required:
• Weekly update.
• Completion reports after each training or workshop.
• Monthly achievement reports.
• Final report for the assignment.
Qualifications and Skill Requirements:
• Previous practical experience of not less than 3 years in development projects and governance programs.
• Willingness and ability to undertake frequent travel within the targeted governorates.
• Has demonstrable experience and relationships with relevant government authorities.
• Accessibility to targeted areas.
• The ability to work independently or as a member of a team.
• Ability to respond on short notice, plan and implement several activities simultaneously.
• Ability to work under pressure, as part of a team or independently, and consistently meet deadlines.
• Able to communicate clearly and sensitively with internal and external stakeholders as a representative of Resonate! Yemen Foundation.
• Strong interpersonal and communications skills required.
• Integrity: He/She works trustworthy with integrity and has a clear commitment to the foundation’s core values and principles.
• Excellent level of computer proficiency.
